FUNDRAISING GUIDELINES
ST. JOHN THE BAPTIST CATHOLIC CHURCH AND SCHOOL
FUNDRAISING GUIDELINES
St. John’s is an enormous parish with a diverse congregation, many of whom belong to charitable organizations which have fundraising needs. Regrettably, it is simply impossible to allow every organization to solicit parishioners and school parents—there is such a thing as donor fatigue. Therefore we have come up with some guidelines to aid everyone in distinguishing the priority for fundraising events and activities.
- Organizations should fill out a Fundraising Application and budget for each fundraising event they are planning.
- Fundraising Applications and budget should be submitted to Libbie Allen, Development Director. They will be reviewed and approved by the Pastor.
- Organizations must follow Archdiocese money handling rules. All organizations will have the approval of the business manager (please read the attached handout) for their money handling procedures.
- Fundraisers involving children must provide a service (such as a carwash, or jogathon) or a product (such as a Christmas wreath).
- One big, well organized, fundraiser is usually better than many small ones
- In general, we do not sell tickets, discount books, candy, or other fundraising products in the back of the church. The proper place for this activity is in the Parish Center at coffee or donuts, or in the courtyard during good weather. With the pastor’s approval, an exception may be made, usually after the 5:30 pm or 6:30 pm Masses. We do make scrip available at the back of the church for the convenience of parishioners, and for security.
- Priority will be given generally, but not exclusively, in the following order
- Parish Offertory Program
- Archbishop’s Annual Appeal (or Archbishop’s Capital Campaign in 2011)
- Special Collections (as determined by the Pastor)
- Parish ministries (school, youth ministry, music ministry, etc.)
- Catholic organizations with St. John’s chapters (Boy Scouts, YLI, SVdP, CYO, KofC, etc.)
- Catholic organizations with members from St. John’s but are not based here.
- Catholic organizations
- Christian organizations
- Local area organizations with goals and values consistent with the teachings of the Church.
- Other organizations with goals and values consistent with the teachings of the Church.
- Coffee and Donuts: We greatly need and appreciate organizations that sponsor Coffee and Donuts. Please take note that Coffee and Donuts is a community building event—not a fundraiser. The purpose is to encourage parishioners to become a family. It is irrelevant whether a profit is made. Organizations may, however, provide this as a service and keep the profit. Under no circumstances are they to “charge” for the donuts--voluntary donations are accepted in an unmonitored basket or cash box at the end of the donut line. Pulpit announcements are generally not allowed regarding the organization which is providing this service.
- FOR NEXT YEAR: All fundraising plans for the next fiscal year (2011-2012) should be submitted to the Development Director by May 1st, 2011. The fundraising plan should include a simple cover sheet listing all fundraisers for the next fiscal year including your organization’s name, contact person with phone number, preferred date, amount to be raised, product or service to be sold, and purpose for the fundraiser (how the money is to be spent). A Fundraising Application and budget for each individual event should be attached.
