FUNDRAISING GUIDELINES

A. St. John’s is an enormous parish with a diverse congregation, many of whom belong to charitable organizations which have fundraising needs. Regrettably, it is simply impossible to allow every organization to solicit parishioners and school parents—there is such a thing as donor fatigue. Therefore, we have come up with some guidelines to aid everyone in distinguishing the priority for fundraising events and activities.

B. Organizations should fill out a Fundraising Application with an attached Budget for each fundraising event.

C. The Fundraising Application and budget should be submitted to the parish office with Steps 1, 2, and 3 completed. The application will be submitted to the Development Committee and the Pastor for approval.

D. Organizations must follow Archdiocese money handling rules. All organizations will have the approval of the business manager for their money handling procedures.

E. Fundraisers involving children must provide a service (such as a carwash, or jogathon) or a product (such as a Christmas wreath).

F. Fundraising that involves the partnering of multiple organizations is appreciated. For instance, we are working to enlarge the SCRIP program so that most parish organizations can participate in and benefit from this fundraiser.

G. One bi, well organized fundraiser is usually better than many small ones

H. Priority will be given generally, but not exclusively, in the following order:
1. Parish Offertory Program
2. Archbishop’s Annual Appeal
3. Special Collections (as determined by the Pastor)
4. Parish ministries (school, youth ministry, music ministry, etc.)
5. Catholic organizations with St. John’s chapters (Boy Scouts, YLI, SVdP, CYO, K of C, etc.)
6. Catholic organizations with members from St. John’s but not based here.
7. Catholic organizations
8. Christian organizations
9. Local area organizations with goals and values consistent with the teachings of the Church.
10. Other organizations with goals and values consistent with the teachings of the Church.

I. Coffee and Donuts: We greatly need and appreciate organizations that sponsor Coffee and Donuts. Please take note that Coffee and Donuts is a community building event—not a fundraiser. The purpose is to encourage parishioners to become a family. It is irrelevant whether a profit is made. Organizations may, however, provide this as a service and keep the profit. Under no circumstances are they to “charge” for the donuts--voluntary donations are accepted in an unmonitored basket or cash box at the end of the donut line. Pulpit announcements are generally not allowed regarding the organization which is providing this service.

J. FOR NEXT YEAR: All fundraising plans for the next fiscal year should be submitted to the Development Director by May 1st. The fundraising plan should include a simple cover sheet listing all fundraisers for the next fiscal year including your organization’s name, contact person with phone number, preferred date, amount to be raised, product or service to be sold, and purpose for the fundraiser (how the money is to be spent). A Fundraising Application and Budget for each event should be attached.
